Pactle AI Technology Pvt. Ltd. (“Pactle”, “we”, “us”, or “our”) provides an automated post-sales and quote-to-cash (QTC) workflow platform for manufacturing and B2B teams. This Privacy Policy describes how we collect, use, and share information when you use our website (pactle.co), our platform, and our integrated messaging services, including the WhatsApp Business API.
1. Information We Collect
We collect information to provide a seamless sales cycle, ranging from lead identification to payment confirmation.
- Information You Provide: When you register for an account or use our platform, we collect your name, business email, phone number, company name, address, and tax identifiers (e.g., GSTIN/PAN).
- Third-Party Lead Data: To facilitate lead management, we ingest business contact data from third-party directories including IndiaMart, TradeIndia, and Justdial. This data includes business names, mobile numbers, and product requirements.
- Automated Email Parsing: Our lead identification module utilizes AI-driven parsing to extract Request for Quotation (RFQ) data and customer details directly from your designated sales email inboxes.
- Technical and Usage Data: We automatically collect IP addresses, device identifiers, browser types, and usage statistics to ensure platform security and performance.
2. WhatsApp Business API and Meta Data Handling
Pactle integrates with the WhatsApp Business Platform to facilitate bulk messaging, quotation sharing, and order updates.
- Meta Cloud Infrastructure: By using our WhatsApp integration, you acknowledge that your messaging data is routed via and stored on the WhatsApp Cloud API, which is a Meta Product.
- Data Residence: Meta hosts this infrastructure in data centers currently located in North America and the European Union. Pactle does not offer local data residency for WhatsApp-specific messaging.
- Official Terms: Your use of WhatsApp is also governed by WhatsApp Business Terms and Meta’s Privacy Policy.
- Message Retention: WhatsApp message content is deleted after 30 days or per Meta policy, whichever is earlier.
3. How We Use Your Information
We process data under the legal basis of Consent, Performance of Contract, and Legitimate Interest to:
- Identify and manage B2B leads from integrated directories.
- Generate automated quotations and invoices through our AI modules.
- Send automated order confirmations and payment reminders via WhatsApp and Email.
- Synchronize data with your existing ERP systems (e.g., SAP, Oracle, Tally, QuickBooks).
4. Sharing and Disclosure
We do not sell your personal or business data. We share information only with:
- Service Providers: Cloud hosting (AWS/Azure) and payment processors required for our payment collection module.
- Meta Platforms, Inc.: To facilitate the functioning of your WhatsApp Business API account.
- Legal Compliance: When mandated by Indian government authorities or investigating agencies under applicable laws.
5. Data Deletion and Rights
- How to Request Deletion: You may request the deletion of your account and all associated data (including leads and messaging logs) by emailing support@pactle.co.
- Processing Time: We will acknowledge your request within 24 hours and complete the deletion of your data from our active databases within 30 days.
- Other Rights: You have the right to access, rectify, or export your data at any time through your Pactle dashboard.
6. Data Security and Retention
- Security: We implement Reasonable Security Practices as per the IT Act 2000, including TLS/SSL encryption for data in transit and AES-256 encryption at rest.
- Retention: Publicly available business leads are retained for up to 36 months unless refreshed or deleted. Financial and transaction records are retained as required by Indian statutory laws.
